Gift cards

Compucash allows for creation of gift cards with rules, meaning you can set the number uses, value and validity, additionally you can create reusable gift cards.

Creating a gift card product

Gift card products can be created as all products under Product management and Products, the only difference when creating a gift card is setting the Product type to Gift card.

Creating a gift card rule

When the gift card product has been created a rule for that gift card can also be added, without a rule the gift card will work as a normal gift card without extra validation. Rules can be created under Product Management and Gift cards, by clicking Add rule.

Rule name is for differentiating the rules, it’s the only mandatory field here
Number of uses determines how many times a gift card can be used in a set period of time, 0 means that the gift card can be used an infinite number of times
Value sets the amount of money the gift card holds, when left empty the value will be set to whatever price it was sold at
Validity in days limits the validity of the gift card after sale, if we wanted the gift card to only be valid for 3 months we’d set this value to be 90 days
Start/End date sets a hard validity limit on the validity of the gift card, this can be used for example to set that all gift cards will expire at the end of the year regardless of the validity in days
Partially usable allows the gift card to be used up in parts, for example when the value of the gift card is 50, the client will be able to use 20 on first visit and 30 on the second
Reusable means that the gift card can be reused after it expires or the sum is used up, this is used for example when gift cards in use are printed on plastic cards
Number creation determines how the number for the gift card is created by generation means that the number is automatically generated on sale, in this case the sale would be made through a wholesale invoice to activate the gift cards, after activation the numbers are sent to a partnering company, for them to distribute. Entered by user means that the number of the gift card is entered by the worker at the time of sale, this is used when the gift cards have been printed ahead of time, the worker inputs the number on the gift card when making the sale and when it’s time to redeem the same number will be entered to validate the gift card.
Printing allows for the POS to print out the gift card, this is used when the gift cards have not been printer ahead of time
Description can hold notes about the rule, making it easier to manage in the long run
Associated products determines which gift card products are managed by this rule, one rule can manage multiple gift card products

Generating gift card numbers

Gift card numbers can be generated in EAN format and sent to a shop for printing. Numbers can be generated under extra options by clicking the 3 dots. This does not activate the numbers, to activate the numbers have to be inserted at the moment of sale by the worker.

The sales process for generated codes is as follows:
1 – Worker takes the card that came from a print shop
2 – Worker adds the gift card product to the invoice
3 – Worker closes the invoice
4 – Worker scans the code on the gift card
5 – Worker hands the gift card to the customer

Selling gift cards

Gift cards with numbers need to be activated by selling them, when the codes have already been printed they can be entered at the time of sale in the POS, to generate activated gift card numbers the sale can be made through wholesale invoice in the office.

Selling gift cards through the POS

Gift cards can be sold through the POS like any other products, only difference being that for gift card sales the POS will ask the worker to insert the number on the gift card when closing the invoice.

Redeeming a gift card

After the gift card has been sold to the customer and activated it can be redeemed. When redeeming the gift card will appear on the invoice with -1 quantity, decreasing the sum of the invoice.
In CC4000 a gift card can be redeemed by choosing Giftcard with number payment, this can also be assigned as an action under a button.

In CC5 a gift card can be redeemed by clicking Voucher in the action menu.

Issued gift cards

Issued gift cards in the gift cards module allows for reporting on used or unused gift cards, also the validity of existing active gift cards can be changed.

By default all sold and used gift cards within a selected period are displayed, Filters allow for additional filtering by Product, Gift card rule or Action. Also extra options like Show only generated(will not show any gift cards activated from the POS) or the option to Show expiration report (will display all, activated but not redeemed, expired gift cards). The format for this report can be changed by clicking the Gear in the top right corner and printed/exported to PDF or Excel by clicking the Printer button.

Modifying active gift cards

Expiration date for active gift cards can be modified by clicking on the gift card number. This is also where detailed information regarding the gift card is displayed.
