Digital work time management increases productivity

Urmo Sisask, CEO of Hyrles, has written in August that although digitalisation of production can be complicated and sometimes uncomfortable, then there is no alternative way of we aim to be competitive in next 10-20 years.

One option to manage a factory more effectively and increase its productivity is to implement a digital solution that helps to measure the tasks and time for it digitally, make decisions based in this easily accessible data and see in real time on large screen an overview of the progress and situations in your units.

Measuring real work time increases discipline and decreases losses in time

Did you know that the people will work already 10% more effectively in case just asked to register their working time and breaks? The reason is in transparency – an employee knowing that his working time(including his delays) are seen to his/her manager.

Jari Kukkonen has written in the industry news of Äripäev portal that 20% of working time tends to be lost in not needed actions. It is not easy to identify.

More in debt view into these activities shows that losses of time are often due to not necessary movements, for example starting one job several times, explains Jari Kukkonen. One job that could be done by one person from the beginning to the end is carried out by three separate persons. Each time a new person starts the job, he/she has to delve into the job the previous person has done and so the summary time will be much longer.

Therefore it is really important for the manager to see in real time if an employee has finished his task but hasn’t got the next one and is waiting or is any of the tasks taking much more time than reasonable. Quick reaction time reduces costs as it decreases losses of useful time resource.

Displaying selected information in real time on a plant wall is helpful also for the employees as it gives quick information what is the priority one task and what is the next one waiting in the list. So there is less need to go and ask or find papers.

Production and management systems development manager of Neiser Group, August Kull, confirms that it is complicated to manage people and work processes without measuring the work time.

"It could be said that measuring worktime of the employees is a necessary process to achieve maximum in the conditions of shortage of personnel.”

"On top of that we are also measuring the results of the work of our employees to find out the effectiveness of time spent at work. Why so? It brings out the needs to instruct the employees, train them or move them for other tasks,” explains August Kull.

Digital work time planning and measuring helps to save time for the administrative personnel, and excludes mistakes that may appear while inserting the data manually. You can integrate work time management program with your company’s book-keeping and/or salary program so that the data will be moved from one to the other automatically.

Payback period of the new solution is less than a year

Ektaco Ltd has carried out the analysis of the effects and payback of the work time management. It came out that in a company with 100 employees with average salary of 600 euros it takes less than a year to bring back the investment to apply a digital work time management system.

Starting to use a digital work time measurement system, it is possible to detect several issues already during the implementation phase.

Some of the most frequent questions in the companies connected to the employees are:

  • how to find out the employees that cause delays?
  • how to decrease losses of time from being late and having too many or too long breaks?
  • how to guarantee the correctness of work time data and diminish the related costs (inserting data manually and processing the data by the book-keeping unit)?
  • how to decrease the time of managers spent on checking the usage of work time (e.g. night shifts)?
  • how to get rid of protests by employees about incorrect calculations of their work time and speed up the salary calculations process?

Solving these issues is not a rocket science. All these questions can be answered with using a digital work time measurement solution.

Work time is mostly registered with a chip or card. In the companies where the employees have the tendency to modify the data for their benefit, it makes sense to use fingerprint instead of a chip. Everyone has got his/her fingerprint always with him/her and one cannot lend it to someone else.
